In the healthcare sector, the storage periods for medical documents are typically 30 years and more. In addition to classic documents such as doctor's letters, findings, laboratory reports, etc., other objects such as X-ray images or tomography images often have to be kept for a long time. For reasons of legal certainty, the electronic signature plays an important role in the medical reports in order to document the integrity.

However, this can only be implemented effectively if the eIDAS trust services are directly available in the specialist systems used.

The Technical Guideline BSI TR-03138 (TR-RESICAN) of the Federal Office for Information Security (BSI) aims to create a technical and organizational framework while taking economic efficiency into account in order to reduce legal uncertainties when scanning paper documents.

Many providers of scan solutions meet the requirements of the BSI TR-RESISCAN with their software. This concerns, for example, the visual inspection and also the transfer note.

Another component of this technical guideline is the integration security, which has to be carried out using a cryptographic process in the case of high and very high protection requirements. This can be done by signature, seal or time stamp.

Vendor management system

The law governing temporary employment regulates the legal relationship between the lender and the borrower and requires the contract between them to be in writing in accordance with Section 12 (1) sentence 1 AÜG. The conclusion of the employee leasing contract in electronic form is therefore only possible with a qualified electronic signature.

As of April 01.04.2017st, XNUMX, this change in the law on temporary work requires a process-efficient solution for signing the AÜV for the lender and the borrower.

Quick and easy alongside implementation in classic temporary work solutions such as HR4YOU-eTemp comes the qualified electronic signature (eSigning) also used in the Vendor Management Systems (HR4YOU-VMS). Here, the MSP (Managed Service Provider) generates the AÜ contract on behalf of the supplier and sends it to the supplier, who signs it. After a successful signature, the HR4YOU-VMS accepts the signed and checked AÜV PDF and informs the rental company or customer. The HR4YOU software solution provides both the customer and the supplier with the mutually signed contract, no additional software is required for this. Batch processing (several contracts with one PIN entry) is also possible.

Use SAP forms in conjunction with trust services to digitize previously paper-based processes in a legally compliant manner and without media disruption. This is the challenge in many companies.

The starting point is usually a PDF document, which is often the visualization of completed business processes or transactions. By integrating trust services, such as the qualified electronic signature (qeS), a previously manual signature process is completely digitized. In particular, the forms that exist in the SAP Business Suite are becoming the enabler for fully digitized signature processes. This approach is becoming increasingly important because classic form technologies such as SAPscript and Smartforms are still available under S/4HANA.

Signature and sealing processes integrate seamlessly into ERP processes such as the SAP workflow, the SAP DMS and the SAP signature page. Modern web APIs integrate archive systems and electronic file and process control systems.
